APAC Legal Secretary

Aim of the Job:

•  Supporting professionally and efficiently the APAC regional legal work by managing regular legal operational processes, related legal administrative tasks at an   office management level

•  Supporting APAC Legal Team effectively and systematically in daily tasks, office management work, meeting organization, and so on


Reporting and Place:

        •  APAC Legal Secretary reports directly to APAC Legal Director and this position is based in Shanghai China



 •  Adapting/improving the existing legal administrative processes and procedures and creating new processes to support NI APAC legal work in the most effective way
•  Managing, maintaining and improving regular office operational processes, developing internal procedures
•  Setting priorities, following up on on-going tasks to ensure the smooth business operation at an office management level which includes Corporate Secretarial issues, such as annual general meetings
•  Keeping relations, performing effective and efficient written and verbal communication (phone calls, correspondences) with inner (e.g. APAC regional branches, NI Legal Teams in other regions, etc.) and outside business partners (outside law firms, etc.) on a daily basis
•  Organizing meetings, appointments, travels, conferences and other professional events, receiving business partners
•  Assisting in travel VISA applications and arrangements
•  Providing basic legal research, and English to Chinese/Chinese to English translation of legal documents
•  Reviewing standard simple legal documents (mostly non-disclosure agreements) under supervision of APAC Legal Team
•  Participating in and supporting projects, preparing project plans/statistics/reports, coordinating with the project team and with other departments with respect to project management
•  Updating, maintaining the regional related legal databases, including the APAC Sales Related Contracts Repository (electronic storing system), and ensuring the entire documentation background for the APAC regional legal matters, making proposals for improvement
•  Keeping track of APAC related legal expenses, reviewing statistics, preparing analyses, reporting to his/her direct manager
•  Assisting in budgeting for APAC Legal
•  Preparing written materials (summaries, memoranda, statistics, reports, analyses) for managerial decision making
•  Participating in professional meetings and trainings, preparing training materials related to his/her work
•  High quality level reporting on all the above tasks for his/her direct manager and providing translation as needed and required.



•  University degree (in English or in Law is much preferred)
•  Fluent in business English (excellent written and verbal communication)
•  Strong MS Office (Word, Excel, Powerpoint) skills
•  Willing to work under pressure; Multitasking ability
•  Good time management and organizational skills
•  Excellent communication and interpersonal skills
•  Honest, high integrity, easy-going, willing to support
•  Precise, accurate personality and details-oriented
•  Being a team player and at least 5 years experience with foreign invested companies in China, preferably have experience in U.S. companies
